From fifteen to eight employees for ordering thanks to EDI and Anyform.

IT distributors have to deal with large numbers of orders on a daily basis, which need to be processed quickly and efficiently. This also applies to Tech Data. This worldwide company delivers IT products and services to resellers. Tech Data has three offices in the Netherlands that serve the local market.
The order process at Tech Data has become highly automated over time, says Jurgen Dennissen, Team Lead Sales Operations at the IT distributor. “We used to have around fifteen people to process orders. Thanks to automation, we can now do this with a team of eight colleagues.”

What is the role of automation in your order process?

“Over the years, automation at Tech Data has not only resulted in more efficiency and time savings, but in better customer service as well. With automation, you can use business rules. These make the order process less error-prone. Moreover, you are better able to absorb peaks. Daily practice shows that many customers prepare their orders in the morning and place them in the afternoon. Thanks to automation, such a peak is easy to absorb.”

How is the order process organized at Tech Data?

“Most of our larger customers order via EDI. For both parties this is the most effective way to exchange orders, packing notes and invoices electronically. But for smaller customers with a limited number of orders EDI is not an option, because of the costs, the knowledge that is required internally and the required maintenance. Yet, we also want to digitize the order process for these customers as much as possible. We have been using Anyform for this process for the past three years now.”

How do you use Anyform most effectively?

“There is only one requirement for the effective use of Anyform. Customers must adhere to a certain consistency when placing orders via PDF or email. As long as they use the standard format, Onetrail can read the orders via Anyform and convert them into an EDI format that we can read. Anyform is therefore an excellent alternative to EDI for a specific group of customers. Via this route, we can not only receive their orders electronically, but their invoices as well. This means the solution also saves our finance department a lot of time.”

How is Tech Data’s experience in collaborating with Onetrail?

Tech Data has been collaborating with Onetrail for several years now. Dennissen: “Our cooperation has certainly become more intensive in the past year. As a result, we have been able to take practical improvement steps together and further optimize processes. A good example is drop shipment. This often went wrong as the order was delivered to the reseller and not to the end customer, as intended.”

“We examined this thoroughly, together with Onetrail. Onetrail then provided an extra check, so this error can no longer occur. It is a good example of our collaboration. Anyform is certainly advisable for any organization that wants to automate its order processes as much as possible. Anyform offers the possibility to receive orders and invoices electronically from parties who do not have the resources available for EDI.”
